29/03/2020 – ADRC Annual General Meeting

Sunday 29th March 2020 8-10pm on the ADRC WhatsApp Group for all members to participate, hosted by the chairman. Various members in attendance, many contributing, a few been drinking . Agenda

  1. Election of committee members
    • Resignations: S Williams (captain), P Tordoff (club secretary), M Collingwood (treasurer) Elections: D Marlow (chairman), A Torrington (club secretary), P Tordoff (treasurer and race director), S Bradbury & M Hinchcliffe (captains), M-C Churchman (vice-captain), D Collingwood (memberships), S Bradbury (media and communications).
    • Committee members: Kathie Wordsworth, Dan O’Grady, Keith Bertie, Steve Gallagher, Mick Collingwood, Christina Barron.
    • New position, Club President: Graham Werrett.
  2. End of financial year accounting report
    • A reasonable bank balance and enough to skip Askern 10km and even Askern 10mile race if needed due to pandemic lockdown. Transfer of treasurer will also herald a change to online banking and payments accessible to members for future events. A banking mandate will also be updated to take into account the committee changes with signatories to be P Tordoff, D Marlow and M Collingwood (with A Torrington as new Club Secretary).
  3. Membership fees
    • Membership renewals for existing members agreed £20.
    • New memberships set at £35 which is the current annual UKA annual fee of £15 plus renewal fee. This includes a club running vest.
    • (Second claim membership also £20.)
    • Social membership £10 with the fee waived for any member marshalling a club race or having made a significant contribution.
    • A motion to consider discounted memberships for long standing and/or retired members, as well as honorary memberships was held over to consider at future committee meetings.
    • Fees to be paid by online banking (to be set up shortly) with the deadline being 31st May 2020.
  4. Membership information and GDPR
    • Any member wishing for basic personal information not to be published is to contact the Media and Communications Secretary. The system is otherwise ‘opt out’.
  5. Race marshalling
    • To devise a system to pre-register marshals for our club races and brief well before the events. Also, many thanks to the family and friends of ADRC members who provide an invaluable contribution.
    • The BARR system is guide for good practice.
    • During 2020 a manual will be developed for each club race to assist in the organisation and smooth running.
  6. Pre-Christmas club race and dinner destination
    • M Hinchcliffe (men’s club captain) is looking into venues for an early December club race and dinner; likely to be further discussed with members in September.
  7. Post-Christmas party venue
    • Not an immediate concern, but members do need to consider the next venue for the club dinner in late January 2021. A motion was also passed to consider introducing awards; details to be discussed at future committee meetings and members suggestions heard.
  8. Club races and entries for SYRL and SYXCL
    • It was voted for members to pay for races and then be refunded after competing; this is to discourage DNS.
    • Members can put forward venues for club-funded races if sufficient numbers allow.
  9. Summer running festival trip
    • A fantastic level of interest for August’s club trip to Belgium. Although, at this stage it is uncertain if the weekend will go ahead, subject to European travel restrictions. News to come.
    • An annual road-trip is great for the club. Belgium has been the destination for many years. A change is welcome if members wish to put forward another venue with viable logistics.
  10. Coaching
    • To build on previous Run Leader activities it was agreed to fund two members to become qualified coaches. This will benefit current and potentially new members of all abilities (with an emphasis on those new to running).
    • C Barron and S Bradbury stepped forward and were voted to become club coaches.
    • To be further discussed at future committee meetings (race director course also to be considered).
  11. Junior members
    • A proposal to introduce junior membership for family of ADRC members. This is a complex topic and was agreed to be discussed at future committee meetings.
  12. Park Runs
    • A motion has previously been agreed to arrange a group club meet at a chosen Park Run every quarter. No club vests to maintain an informal gathering. To ‘pay back’ the contribution by Park Run volunteers it was agreed that members will also attend regularly as marshals at their chosen venue. To start once public events restart.
  13. Litter pick
    • The first event last Autumn was a huge success (followed by cake). It is hoped once the club is able to physically reconvene again another date can be arranged.
  14. Any other business
    • Awards ceremony as above at the January dinner.
    • Increase in prize spending at monthly with Time Trial chip butties.

Thank you to all for taking part in the club’s first online AGM. Future committee meetings will be conducted in the same way until government policy and the pandemic allows. Motions carried as above and further decisions by the committee with continue to be made through the online forums and minutes of meetings.
